SetSensitivity flow for Office 365

Purpose

Problem: users who have full access to the shared mailbox do not see emails sent as "private". The emails are just silently hidden by outlook without any further notice. If you open the same mailbox in OWA, you will see any private email.

SetSensitivity Flow changes sensitivity flag to "Normal" for any message delivered to a shared mailbox. After that the message is displayed normally in Outlook.

The product is a Power Automate (former MS Flow) template.
This product can be used by any Office 365 user who can run Power Automate.

Installation

1. Select a shared mailbox you have full access right to.

2. Download SetSensitivity3.zip file and then run Office 365 PowerAutomate and import the zip file to your flows list as described here.

3. In the "When a new email arrives in a shared mailbox (V2)" trigger change the field "Original Mailbox Address" to the email address of the shared mailbox you have selected in the step 1.

   

Testing

1. Disable SetSensitivity3 flow.

2. Log in to your personal mailbox, create a new message addressed to the shared mailbox you have selected while installation and send it.

3. Run OWA and make sure you can see the message in the Inbox folder of the shared mailbox.

4. Run Outlook and wait a couple of minutes. You cannot see the message you have just sent in the Inbox folder of the shared mailbox.

5. Enable SetSensitivity3 flow.

6. Run Outlook and wait a couple of minutes. The message you have recently sent become visible in the Inbox folder of the shared mailbox.
