Purpose

The SendAsDL Flow allows you to send emails as a distribution list from Outlook on your mobile device.

It can also be useful if you need a single From address for several users.

Installation

  1. Create the shared mailbox "sendasdl@contoso.com".
  2. Create the transport rule "SendAsDL".

  3. Using a service account that has full access to the shared mailbox "sendasdl@contoso.com" and the right to send as the distribution list, open Office 365 Power Automate and import the SendAsDL.zip file into your flows list as described here.

  4. The flow uses two connections: "Office 365 Outlook" and "Office 365 Users". Use your existing connections or create new ones when prompted.

  5. Enter "sendasdl@contoso.com" in the "Original Mailbox Address" field. Click the three-dot menu, then select "Settings". Set "Split On" to "Off". Save the flow.

  6. Turn on the flow.

Testing

  1. Assume your default email address is "tester@contoso.com" and you want to send as the distribution list "testDL1". Create the email alias "tester_sendasdl_testDL1" for your account. The tag "_sendasdl_" is recognized by the transport rule. "testDL1" must match the display name of a distribution list of which you are a member.
  2. Open Outlook on your mobile device, select "tester_sendasdl_testDL1@contoso.com" as the From address, and send a message.

  3. Verify the message is delivered from "testDL1 <testDL1@contoso.com>".
